The Opportunity
As the Program Coordinator- Governance & Strategy, you will provide execution support across Distribution Enablement's governance, strategy, and portfolio prioritization functions. Reporting to the Head of Strategy, Planning and Governance, you will help ensure governance forums run smoothly, decisions are documented, artifacts are maintained, and leadership has the visibility it needs to make informed decisions. This role supports the full scope of Distribution Enablement governance, including field technology governance, BP&AD AI governance, portfolio prioritization and coordination, and strategic planning operations. You will work across teams and with senior stakeholders, gaining broad exposure to how field technology strategy and governance operate at scale within a complex, matrixed environment.
The Team
You will be part of the Distribution Enablement team within Brand, Product & Affiliated Distribution, an organization focused on shaping and improving the technology and data experience for the MMFA distribution channel. The team combines technology strategists, data and analytics experts, change management leaders, and portfolio managers who collaborate with diverse partners across Brand & Marketing, Wealth Management, Product, Enterprise Technology Experience (ETX), Compliance, Finance, and other key business areas. We are passionate about empowering our financial advisors with an integrated, competitive field technology suite and enabling our internal teams to operate with clarity and focus. The Impact
Coordinate and support governance forums across field technology, AI, and portfolio governance, including scheduling, agenda preparation, materials assembly, note capture, decision documentation, and action item tracking.
Maintain and update governance artifacts including the decision log, portfolio tracker, RAID log, charter documentation, and process templates to ensure consistency and transparency across all governance activities.
Support the preparation of governance and portfolio reporting including dashboards and executive summaries for leadership, SteerCo, and field stakeholder audiences.
Support the BP&AD AI portfolio by maintaining the portfolio tracker, updating lifecycle and maturity data, and preparing materials for the AI Committee and SLT discussions.
Help prepare executive presentations, talking points, and communications for the Head of Strategy, Planning and Governance and the Head of Distribution Enablement.
Coordinate cross-functional inputs for quarterly reviews, portfolio health assessments, prioritization cycles, and cross-pyramid technology reviews.
Maintain SharePoint sites, document libraries, and shared collaboration spaces for governance and strategy materials. Support the development and upkeep of standard templates, toolkits, and process documentation.
Track and organize stakeholder feedback, field committee inputs, and action items from AAX/GAX and other engagement forums to ensure follow-through and accountability.
The Minimum Qualifications
High school diploma or GED.
2+ years of experience in project coordination, governance support, program operations, or executive liaison/administrative assistance.
1+ years of experience with Microsoft 365 tools (Teams, Excel, PowerPoint, SharePoint, Word).
The Ideal Qualifications
Strong organizational skills with the ability to manage multiple workstreams, deadlines, and stakeholders simultaneously.
Strong written and verbal communication skills, with the ability to synthesize information and prepare clear materials for senior audiences.
Significant attention to detail and follow-through.
Experience supporting governance, strategy, or portfolio management functions in financial services or technology organizations.
Experience preparing executive-level materials (decks, dashboards, status reports, communications).
Familiarity with decision tracking, RAID logs, portfolio trackers, or project management tools.
Experience with AI governance, technology governance, or cross-functional coordination.
Ability to work independently, anticipate needs, and proactively identify ways to improve processes and workflows.
Comfort operating in a fast-paced, matrixed environment with exposure to senior leadership.
