The salary range for this position is $50,000 - $55,000. Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. In addition to base salary, eligible employees may be entitled to other elements of total compensation, which may include group benefits, employer RRSP contributions, and discretionary bonus or incentive programs, where applicable to the role. We are committed to offering competitive compensation and comply with all applicable pay transparency legislation. Further details regarding our total rewards program will be shared by the Talent Acquisition team during the hiring process. Canadian work experience is not a requirement for this role. If you were to come on board as our Service and Catering Coordinator, we’d ask you to do the following for us:
Event & Catering Coordination
- Plan and coordinate catering services by liaising with clients, service coordinators, and vendors to develop menus and meet dietary requirements.
- Prepare and process quotes, invoices, and Accounts Payable entries accurately and on time
- Ensure all events are well planned, executed smoothly, and financially sound
- Communicate event specifications clearly to all stakeholders and ensure delivery aligns with expectations
- Manage last-minute changes with a proactive, solution-focused approach
- Monitor guest satisfaction and contribute to reports and SOP development
Service & Event Operations
- Book and manage meeting spaces using scheduling tools, ensuring proper setup and availability
- Review event requirements (room setup, capacity, flow, AV, food & beverage) and provide recommendations
- Prepare and share daily and weekly event schedules; coordinate catering orders
- Conduct team meetings to review upcoming events and communicate updates
- Place work orders for room setup, furniture, AV, and facility maintenance (e.g., electrical, plumbing)
- Collaborate with AV teams, planners, vendors, and partners to support event needs
- Provide solutions to operational issues to ensure service is not compromised
Client & Stakeholder Engagement
- Build strong relationships with clients, executives, and internal partners
- Deliver professional, high-level customer service and greet guests as required
- Provide feedback to management and escalate issues when needed
- Support confidential and high-profile meetings with attention to detail
Administration & Reporting
- Prepare weekly/monthly reports including utilization, financials, and operations
- Maintain accurate documentation, correspondence, and records
- Monitor office supplies and coordinate requirements with management
- Support additional projects and initiatives as assigned
